How Do I Easily Plan Engagement Sessions?

As we approach engagement season I'm getting so excited to photograph engagement sessions.  I'm in the midst of scheduling the sessions for the upcoming year, and wondering if you have any tips or guidance to making a smooth and simple, yet custom, process?

Dear Eager Engagement Photographer,

I'm so excited for you and your upcoming season!  This is such a fun time as the year gets rolling, but things can quickly get overwhelming and disorganized if you don't stay on top of things.  Below are a few things that I've found help me stay on top of the engagement season, and make the process smooth and simple:

  1. Depending on how far out the wedding is booked, I usually get in touch about 5-6 months prior to the wedding to chat about:
    1. Date options.  
    2. Favorite things that they like to do together
  2. From there I'll suggest a couple options for our two part engagement session.  I always try to start with something that incorporates the couple, and then complete the session at an outdoor location as the sun goes down.  I pair the locations up as they make the most sense -- if the brewery / bowling alley / ice cream shop / used book store / etc is in a certain area of town, then I suggest second location that are nearby.  This cuts down on drive time between the locations, and keeps things feeling simple and fun.  
  3. After they've selected the date + location(s) I'll send them a PDF with tips + guidance for what to wear to their engagement session, and a little note to set them at ease.  

Then, the week prior to our engagement session, I'll send a "Hi!  I'm so excited for our engagement session at xxx, on xx date at x time!  Here's my number in case you need anything at all!"  That sends them a friendly reminder, and lets them know that I'm ready as well.
